Assistant General Manager

DESCRIPTION

Utilizing initiative and independent judgment, the Assistant General Manager assists the General Manager in planning, directing and managing the day-to-day operations of the arena.  This includes but is not limited to:  proactively booking business into the arena, building and maintaining relationships with tenant teams, appearing for various marketing and public relations events both in-house and around the community. Supervision is also exercised over management who directs various sections in day-to-day operations. Responsibilities also include evaluation of current organizational administration, procedures, policies, and programs in order to recommend improvements.

RESPONSIBILITIES

  • Assist the General Manager in planning, directing and managing the day-to-day operations of the arena including sales, marketing, public relations, finance, event services, operations, housekeeping, maintenance, safety and security
  • Position will proactively work with the General Manager to book events into Wells Fargo Arena
  • Create and maintain solid relationship with all tenant teams (Iowa Wolves, Wild & Barnstormers); specifically in event coordination, marketing and any operational areas
  • Work with department directors in the day-to-day management of their various departmental disciplines; review and evaluate processes and results; identify and resolve deficiencies and challenges

Catering Sales Manager

DESCRIPTION

The Catering Sales Manager maintains a consistently positive and professional relationship with internal and external clients. The Sales Manager will handle sales and customer service issues including providing outstanding customer service; researching, resolving and clarifying invoice questions; and providing knowledgeable and appropriate suggestions regarding menu selections. The Sales Manager will facilitate the flow of information internally, as well as communicate with all guests and vendors. Must be available to assist with general catering operations as needed.

RESPONSIBILITIES

  • Responsible for generating, managing and coordinating in-house catering sales and initiating, directing and implementing marketing functions
  • Generates, negotiates and closes contracts on social, wedding, corporate, convention and gala events
  • Oversees event coordination, will frequently represent the company as final decision-maker in matters pertaining to event execution including personnel, culinary, financial and operational matters

Manager of Premium Seating, Global Partnerships

DESCRIPTION

This position will be responsible for generating revenue from local, regional and national companies through the sales of premium seating at Wells Fargo Arena. This position will work as part of the sales team, reporting directly to the Director of Partnerships. The Manager of Premium Seating’s primary focus is the sales and client service for premium seating at the Wells Fargo Arena, including luxury suites, loge boxes, club seats and hospitality packages.

RESPONSIBILITIES

  • Relentlessly prospect new business weekly to set meetings with qualified prospects, fill the pipeline, and advance business relationships quickly and efficiently
  • Communicate well across all areas of the company including legal, accounting, marketing, community relations, and ticket operations
  • Work closely with the Event Services, Marketing, and Partnership teams to ensure that current clients receive superior service and fulfillment of each contract
  • Participate in servicing premium customers through various means including direct contact, newsletters, networking gatherings, etc.

Premium Seating Coordinator

DESCRIPTION

Under the direction of the Director of Partnerships, the Partnerships & Premium Seating Coordinator is responsible for supporting the partnerships team through the sales and partnership execution process by assisting in execution of sponsorships, assisting in the day-of-event premium seating experience, and helping to maintain and grow client relationships to help achieve department revenue goals for OVG at the Iowa Events Center.

RESPONSIBILITIES

  • Communicate with annual Suite Holders, Loge Box Holders, Club Seat Holders and Event Rental clients to increase revenue through ticket additions, food and beverage packages and merchandise add-ons
  • Support the Director and Manager of Partnerships in the sponsorship sales process by designing proposals, developing digital assets and executing sponsorship deliverables
  • Routine coordination with marketing department to develop and execute digital marketing sponsorship programs and deliverables
  • Day of event responsibilities such as sponsorship activation setup, coordination, entertaining clients, premium seating preparation and fulfilling necessary sponsorship contract obligations

Concessions Coordinator

DESCRIPTION

The Concessions Coordinator (CC) is responsible for supporting the Concessions Manager(s) with organization, communication, and management of the Concessions Department. Responsibilities include inventory controls, product ordering, training new employees, compliance with alcohol service polices, cleaning, safety, guest service, employee/volunteer training and supervision, warehouse oversight, troubleshooting, closing duties, event planning support, food preparation and production, and any other tasks assigned by the Concession Manager(s).

The CC must be able to provide a high level of event oversight, technical proficiency and operational/personnel support to ensure the smooth operation of the Concessions Department. The CC will act as the manager on duty (MOD) in the absence of a Concessions Manager with regard to day-to-day operations. The CC will actively and independently oversee all aspects of employee relations as required to ensure a positive, harmonious, compliant and cooperative work environment. The employee must maintain excellent attendance and be available to work a varied, event-driven schedule including consistent evenings and weekends.

RESPONSIBILITIES

  • Manage and oversee all concessions operations and locations before, during and after the event. Consistently will be responsible for closing duties / procedures including post-event reconciliation and reporting
  • Ensure all employees are following proper procedures regarding handling of cash; and are maintaining a complaint work environment in accordance with company standards and local, state, federal laws, including but not limited to, food & safety / compliance, building & guest safety, emergency situations, and employee relations.
  • Ensure that all local, state, federal laws, Spectra and IEC policies, procedures and practices are adhered to, including compliance with alcohol distribution / service and food handling / sanitation guidelines, employee relations / respect in the workplace, general safety policies and procedures. Report any alcohol service or other compliance issues to General Manager immediately.
  • Address and report all safety concerns, potential hazards, accidents or incidents to management immediately.

Event Intern

DESCRIPTION

The Events Department Intern will work closely with the Events Department (made up of Event Managers, Guest Services, and Parking) through hands on learning and training. Time will be spent evenly between events, guest services and parking teams to get a thorough understanding of the events operation at the Iowa Events Center and valuable knowledge of the events industry.

RESPONSIBILITIES

  • Shadow event managers to gain an understanding of how to manage, plan, and execute an event from start to finish in both the convention center and arena.
  • Assist with the scheduling of part-time staff – from sending out availability surveys, sending confirmed schedules, to placing staff on “game day” staffing sheets
  • Work and supervise events to gain an understanding of how to manage, direct, and motivate part-time staff before, during and after an event – in Convention Center and Wells Fargo Arena events
  • Shadow Department Head(s) and other Iowa Events Center staff upon request to gain understanding of tasks each department perform

Operations Intern

DESCRIPTION

This intern will work closely with the Operations Department through hands-on learning. This will include how to operate the facility and events through a variety of disciplines like: Set-up and teardown of events, event management, housekeeping, scheduling, recruitment, budgeting, capital projects, and inventory.

RESPONSIBILITIES

  • Assist in scheduling personnel and tasks for day-to-day operations as well as event set-up, event management, and event teardown
  • Shadow Operations Supervisors to gain an understanding of how to manage, direct, and motivate Operations crew before, during, and after an event
  • Learn about the Operations Budget and Capital Expenditure Budget, with how to submit a request for proposal, receive bids, and input invoices
  • Informative training with buffer, rider sweepers / scrubbers, walk behind scrubbers, blowers, vacuums, forklifts and other various equipment
